Facilities Coordinator

The Payroll, Procurement and Administration Branch of the Finance and Risk Management Division is seeking a Facilities Coordinator to join our dedicated team. In this pivotal role, you will be responsible for coordinating a wide array of essential functions related to facilities management, logistics, security access, asset disposal, and resource management.

The Facilities Coordinator will play a key role in maintaining and updating facilities-related procedures, and reports, while also generating security access reports and contributing to the development of business cases. Your expertise will support the smooth and efficient operations of various facilities and logistics functions, while also acting as a reliable backup to the Manager, Facilities, as required.

In this role, the successful candidate will:

  • Coordinate and track service requests for repairs, custodial services, maintenance, and office moves, ensuring timely resolution.
  • Act as a liaison between AGCO, Ministry Facilities Service Provider (BGIS), landlords, and clients to resolve facility-related concerns.
  • Support building security programs, oversee workspace allocation, and provide staff guidance on accommodation issues, including lease responsibilities and Ontario Public Service (OPS) policies.
  • Coordinate facility-related procurement, including equipment, repairs, and services, ensuring proper approvals and compliance with procurement policies.
  • Administer and maintain the building’s computerized security card access system, ensuring software and hardware updates are applied as needed.
  • Monitor and track security access to the premises, generating reports on entry, exit, and restricted area attempts as required.
  • Oversee the response to emergencies and urgent security issues, ensuring designated staff are available to respond.
  • Maintain the AGCO’s computerized asset inventory system to track and locate physical assets, including furniture, equipment, telephones, and security access cards. Support various facilities project working groups (e.g., renovation projects, space measurement, space assessment, air balancing) by providing documentation and administrative coordination.
  • Update AGCO’s facilities management policies and procedures manuals in alignment with guidelines from the Ministry of the Attorney General, Infrastructure Ontario, Ontario Government vendor-of-record facilities provider (CBRE), and Ministry policies and directives.

The ideal candidate will have:   

  • Strong practical knowledge of Ministry of Public and Private Business Service (MPBSD), Infrastructure Ontario - Ministry of Public and Private Business Service Delivery (MGCS), Ministry Facilities Service Provider (BGIS), Supply Ontario, and Ontario Public Service (OPS) directives, particularly related to facility and contract management.
  • Ability to program and troubleshoot the Security Access System (AMAG - Symmetry), including building card access and Graham Monitoring System.
  • Strong understanding of building maintenance and vendor management, ensuring compliance with service contracts and effective coordination of facility repairs and maintenance services.
  • Experience reading and interpreting office floor plan drawings to support space planning and office moves.
  • Knowledge of telecommunication technology and systems, including Centrex III, Private Branch Exchange (PBX), voice processing, and OPS Telecommunication policies and procedures.
  • A project management mindset, with the ability to plan, coordinate, and execute facility-related projects, ensuring deadlines, resources, and stakeholder expectations are met.
  • Strong problem-solving and decision-making skills, with the ability to proactively identify facility issues, analyze security and operational concerns, and implement effective solutions.
  • Excellent communication skills, with the ability to clearly and professionally interact with staff at all levels, vendors, and external partners - Capable of explaining security procedures, facility policies, and process updates concisely and effectively.
  • A valid Ontario Class ‘G’ driver’s license with a clean driving record under the Highway Traffic Act, and a willingness to travel to our regional offices across the province.
  • The successful candidate must be eligible to work in Canada and will be subject to a criminal background check.
